About the position :
The Corporate Services Officer supports the Office Manager in the delivery of administrative services. This position is responsible for the management of repairs and maintenance works, planning and supervision of contractors and service provision for the chancery. The position also acts as the primary finance payables officer, coordinating with the Regional Service Delivery Hub in London for SAP entries and the local bank for payments. He is also responsible for the management of official fleet and externally contracted driver and any other administrative tasks.
The key responsibilities of the position include, but are not limited to:
• Manage maintenance and repairs at chancery including planning and supervision of contractors and other external suppliers as needed.
• Work with Office Manager and London Hub to procure and manage assets, furniture and fittings, as well as electrical, stationery and other official supplies as required, including maintaining appropriate documentation.
• Manage the connection of utilities, telecommunication and other service accounts for all properties.
• Perform the processing of financial operations including cashier, payroll, accounts processing and bank reconciliations using SAP in accordance with departmental guidelines and legislative requirements.
• Manage the maintenance of the official vehicle fleet, including arranging regular servicing, insurance, registration and fuel card top ups.
• Perform a range of corporate services including VAT claims, diplomatic bag, preparing documentation, and drafting replies to routine correspondence.
• Supervise and lead the externally contracted driver, manage their schedule and the official vehicle fleet calendar, establish work priorities, monitor service delivery and provide regular feedback.
• Perform general administrative duties as required.
Qualifications/Experience
Essential
• Excellent communication and negotiation skills. Fluent in written and spoken English, French and Arabic.
• Strong capacity to provide high-level administrative support, including a close attention to detail.
• Strong organisation and time management skills. Ability to multi-task and reprioritise in response to changing requirements.
• Experience in event planning and management and customer service.
• Ability to maintain confidentiality, judgement and discretion.
• Proficiency in Microsoft Office software applications.
Desirable
• Knowledge of SAP
